About The Role

The Facilities Manager is responsible for the safe, compliant and efficient operation of a large‑scale, 500,000 sq ft distribution centre. This role ensures that the building, grounds, equipment, and critical infrastructure are maintained to the highest standards, supporting uninterrupted operational performance.

Acting as the site’s subject matter expert for facilities, safety, and compliance, the Facilities Manager will lead planned and reactive maintenance programmes, manage key contractors, oversee statutory inspections, and drive continuous improvement across the estate.

This is a hands‑on leadership role in a fast‑paced logistics environment, requiring strong commercial awareness, exceptional organisational skills, and the ability to prioritise effectively while maintaining safety as the number one priority.

About You

Key Responsibilities

1. Facilities & Infrastructure Management

  • Oversee the maintenance and condition of the full 500,000 sq ft site, including warehouse, offices, yards, car parks and external boundaries.
  • Lead planned preventative maintenance (PPM) schedules for all building systems including lighting, racking, roofing, fire safety equipment, HVAC, generators and alarm systems.
  • Coordinate reactive repairs with minimal disruption to warehouse operations.
  • Ensure all equipment (dock levellers, roller shutters, conveyors, MHE chargers, pallet gates, etc.) is fully operational and compliant.
  • Manage utilities performance (electricity, gas, water) and drive reduction in consumption and cost.

2. Contractor & Supplier Management

  • Source, appoint and manage third‑party contractors for cleaning, security, waste removal, pest control, grounds maintenance, engineering support and specialist services.
  • Ensure contractors comply with site rules, RAMS, permits to work and health & safety requirements at all times.
  • Review performance, negotiate contracts and control facility budgets.

3. Compliance, Health & Safety

  • Take ownership of facilities-related statutory compliance, including:
    • Fire systems inspections
    • Emergency lighting
    • LOLER, PUWER & lifting equipment
    • Legionella testing
    • Electrical testing (EICR, PAT)
    • Racking inspections
  • Maintain accurate records and ensure all documentation is audit‑ready.
  • Conduct regular site inspections to identify risks, hazards and areas for improvement.
  • Lead on site evacuations, drills and emergency preparedness with senior leadership.

4. Space, Layout & Asset Management

  • Support warehouse leadership with layout changes, installation of new equipment, racking modifications and optimising working areas.
  • Maintain accurate site maps, asset registers and building documentation.
  • Manage repair, upkeep and replacement of fixtures, fittings and site infrastructure.

5. Environmental & Sustainability

  • Oversee waste streams and recycling compliance.
  • Ensure environmental responsibilities are met, including spill response, waste contractors, and carbon reduction initiatives.
  • Drive sustainability improvements across the estate.

6. Leadership & Collaboration

  • Work closely with Operations, H&S, HR, IT and external partners to ensure smooth day‑to‑day running of the distribution centre.
  • Communicate clearly with Senior Managers on risks, priorities, budgets and project status.
  • Lead any on‑site facilities support team (if applicable).

Skills, Experience & Qualifications

Essential

  • Proven facilities management experience in a large warehouse, distribution centre, manufacturing site or similar industrial environment.
  • Strong understanding of statutory compliance, building maintenance and H&S standards.
  • Experience managing contractors, budgets and service-level agreements.
  • Excellent organisational, planning and prioritisation skills.
  • Strong problem‑solving ability with a hands‑on, proactive approach.
  • Comfortable working in a fast‑paced operational setting.
  • Strong communication skills with the ability to influence at all levels.
  • Computer literate, including use of facilities systems, spreadsheets and digital reporting tools.

Desirable

  • IOSH or NEBOSH qualification.
  • IWFM Level 3/4 in Facilities Management.
  • Experience in a 24/7 or high‑volume distribution operation.
  • Knowledge of warehouse equipment, MHE infrastructure and racking systems.
  • Experience managing capital expenditure or site upgrade projects.
