About The Role

As a Facilities Administrator for GSF Car Parts, you will work alongside the Facilities Manager, and property team to provide day to day support on all facilities issues that arise from the Network.

As the Facilities Administrator, you will support the Facilities department in providing ongoing service and assistance on planned maintenance, routine repairs and provision of services.

With our aim to be a flexible employer, this role offers hybrid working. 
  
Main Duties include:
 
  • Ensure the Help desk line is maintained during working hours and calls are dealt with appropriately
  • Works alongside the Facilities Manager and as directed obtains quotes for work, seeks authorisation via approved channels, authorise either internally or with contractors, prepares invoices for sign off by FM.
  • Log and track all jobs through the Facility department job system
  • Serves as liaison between Branch Management, Site Managers, and external contractors 
  • Orders new furniture, equipment and other essential materials as directed
  • Captures work flow of jobs from company properties via phone and email and transfer onto help desk log 
  • Dealing with basic urgent requests as they arise or escalates as appropriate.
  • Work with the Facilities manager to allocate work along the appropriate channels
  • Maintains the help desk log, and individual job status
  • Coordinate planned maintenance schedule as directed by the Facilities Manager and Facilities & Services Coordinator
  • Issue appropriate order numbers and tracks accordingly to completion
  • Maintain statutory compliance database, and coordinate appropriate work with contractors as is required as directed by the
  • Facilities Manager and Facilities & Services Coordinator
  • Coordinate individual jobs through to completion and ensure certification
  • Escalates issues and non-compliance as appropriate to completion
Working hours:
 
40 hours per week Monday to Friday

About You

The ideal candidate will be an ambitious individual who has an administrational background, ideally within a fast-paced, multi-site organisation.

What you'll need to succeed:

  • Ability to multitask and prioritise workload accordingly
  • Good telephone manner with the ability to communicate at all levels both internally and externally
  • Some experience in MS Office especially MS Excel
  • Organisational skills
  • IT literate
  • Self-motivated
